From Paper Job Cards to Digital: A Pakistan Guide

How Pakistani workshops can move from paper job cards and khata ledgers to digital: practical steps, Urdu receipts, WhatsApp and wallet payments.

By AutoShop POS Editorial Team ·

Walk into many workshops in Karachi, Lahore or Islamabad and you will find the same system: a stack of paper job cards, a khata register for customers who pay later, and the owner’s memory for everything else. It works, until a card goes missing, an udhaar balance is disputed, or a regular customer asks what was done to their car last year. Moving to digital does not have to mean changing everything at once. This guide covers a practical, step-by-step way to go from paper to software without disrupting the work in the bays.

Why move away from paper job cards and the khata?

Paper is quick to start but hard to search, easy to lose and difficult to total. A digital system keeps every job card, payment and udhaar balance in one place, shows what each car has had done before, and adds up the day without a calculator. The aim is not to replace your way of working, but to stop losing money and time to missing paper.

Common problems with paper, and what changes with software:

Paper problem What digital changes
Job card lost or smudged Job card saved against the vehicle and customer
Udhaar disputes Each credit sale linked to its invoice and date
“What did you do last time?” Full vehicle history in seconds
Parts used but not charged Parts added to the job card as they are issued
End-of-day total takes an hour Daily totals by cash, wallet and bank
Owner must be present to answer questions Staff can look up jobs and balances

What is the best order to go digital?

Move one process at a time. Start with job cards for new vehicles, because that is where every job begins. Once the team is comfortable, move the khata by entering open balances. Then add parts stock. Running paper and software side by side for a short period gives everyone confidence before the paper is retired.

A practical sequence:

  1. Week 1: customers and vehicles. Add customers and their vehicles as they come in. Do not try to enter everyone at once.
  2. Week 1 to 2: job cards. Create every new job card in the software. Keep a paper copy for the bay if the team prefers, but the software is the record.
  3. Week 2 to 3: khata. Enter the open balance for each customer who currently owes money, dated, with a note referring to the old register.
  4. Week 3 to 4: parts stock. Count fast-moving parts first, such as filters, oils, brake pads and plugs, and enter them with cost and selling price.
  5. After that: reports. Start checking daily totals, udhaar outstanding and parts used each week.

The weeks are a guide, not a rule. A small workshop may do it faster; a busy one may take longer.

How should job cards work in software?

A digital job card should hold the same things as the paper one, customer, vehicle, complaint, work done, parts and labour, plus a few things paper cannot do: link to past visits, send an estimate on WhatsApp, and turn into an invoice without retyping. Keep the layout familiar so the team adopts it quickly.

What to capture on every digital job card:

  • Customer name and mobile number.
  • Vehicle make, model, registration number and mileage.
  • VIN or chassis number. Many imported Japanese cars carry a chassis number rather than a 17-character VIN, so record it exactly as stamped. See what a VIN tells you.
  • The customer’s complaint in their own words.
  • Work done and parts used, each as a separate line.
  • Labour charges.
  • The mistri assigned to the job.

In AutoShop POS, work orders are the digital job card, and vehicle history shows every past visit when the same car returns.

How do you move the khata without typing years of entries?

Enter only the current open balances, not the full history. For each customer who owes money, add one opening balance dated on the day you switch, with a note pointing to the old register page. From then on, every credit sale and payment goes into the software. Keep the old registers safely as your archive.

Step by step:

  1. Go through the khata and list every customer with an open balance.
  2. Agree the balance with the customer if there is any doubt, before entering it.
  3. Enter one opening balance per customer with the date and the register reference.
  4. Record all new credit sales against their invoice.
  5. Record each payment received, with the method.
  6. Check the total outstanding each week.

Should receipts be in Urdu or English?

Print receipts in the language your customers read. Many workshops print Urdu or bilingual receipts for walk-in customers and English invoices for companies, fleets and insurance work. Whatever you choose, make sure the receipt shows the workshop name, date, vehicle, each part and labour line, the total, and how it was paid.

Customer type Common choice Why
Walk-in private owners Urdu or bilingual Easy to read and check
Companies and fleets English Fits their accounts process
Insurance or rental work English Matches claim paperwork
Mixed customers Bilingual One format for everyone

The software needs to support Urdu text and right-to-left layout properly; check a printed sample before you commit.

How can WhatsApp help with customers?

Most customers already use WhatsApp, so sending the estimate, a photo of the worn part, and the final invoice there is natural. It gives the customer a record, reduces “I never agreed to that” disputes, and saves phone calls. Keep messages short and professional, and get the customer’s approval before starting extra work.

Good uses of WhatsApp in a workshop:

  • Sending the estimate with a photo of the problem.
  • Confirming approval in writing before extra work starts.
  • Telling the customer the car is ready.
  • Sending the invoice or receipt as a PDF.
  • A reminder for the next oil change or a job the customer postponed.

How should JazzCash, Easypaisa and other payments be recorded?

Record each payment against its invoice with the method and, for wallets and bank transfers, the transaction ID. Many customers pay through JazzCash or Easypaisa, so treat them as payment methods alongside cash, card and bank transfer. Separating methods makes the end-of-day count match your cash drawer and your wallet and bank statements.

Payment method What to record
Cash Amount received
JazzCash Amount and transaction ID
Easypaisa Amount and transaction ID
Bank transfer Amount, bank and reference
Card Amount and terminal slip number
Udhaar (credit) Amount added to the customer’s balance

AutoShop POS works with these payment methods as recorded payment types on the invoice, so the daily report splits totals by method. The Pakistan page covers local setup in more detail.

What about sales tax on workshop invoices?

Keep it simple and get advice. Whether you need to charge sales tax depends on your registration and the type of supply. Sales tax on goods is administered by the FBR, while services such as labour can fall under provincial rules. Ask a tax consultant what applies, then set up tax on invoices accordingly.

Practical points:

  • Show parts and labour as separate lines, since they may be treated differently.
  • If you are registered, show your registration details on invoices as your consultant advises.
  • Keep purchase invoices for parts, as they support your records.
  • Do not guess rates; confirm them, since they can change.

How do you get the team on board?

Keep each person’s part simple and start with the jobs they already do. The mistri needs to see assigned jobs and mark work done. The advisor or owner handles estimates, prices and payments. Train on real jobs during a quiet hour, and keep paper as a backup for the first week or two so nobody feels stuck.

Tips that help:

  1. Choose one person to lead the change, often the owner or the counter manager.
  2. Start on a quieter day of the week.
  3. Train on the first few real jobs instead of in theory.
  4. Keep the paper backup for a short, fixed period, then stop.
  5. Review the first month’s reports together so everyone sees the benefit.

Going digital is a series of small steps, not one big jump. Start with job cards, move the khata, add stock, and let the reports show what paper never could. If you are switching from another system or from paper, the switch page explains how data can be brought across.

Questions on: From Paper Job Cards to Digital: A Pakistan Guide

ART-G201Is it hard to move from paper job cards to software?

It is easier when done in stages. Start by creating job cards in the software for new vehicles only, keep paper as a backup for a couple of weeks, then move the khata and stock once the team is comfortable. Trying to switch everything in one day is what makes it hard.

ART-G202What happens to our old khata registers?

Keep them. Enter only the open balances of customers who currently owe money, with a note of the date, and store the old registers as your archive. There is usually no need to type in years of old entries.

ART-G203Can receipts be printed in Urdu?

Yes, with software that supports Urdu text and right-to-left layout. Many workshops print Urdu or bilingual receipts for walk-in customers and English invoices for companies and fleets. Choose based on what your customers actually read.

ART-G204Can we accept JazzCash and Easypaisa?

Yes, many customers already pay workshops through JazzCash and Easypaisa. Record each payment against the invoice with the method and transaction ID so your daily cash count and wallet statements match.

ART-G205Do we need to charge sales tax on workshop invoices?

It depends on your registration and the type of supply. Sales tax on goods is administered federally by the FBR, while services can fall under provincial rules. Ask a tax consultant what applies to your workshop before you set up tax on invoices.

ART-G206Will the mistri and helpers be able to use it?

Usually yes, if their part is kept simple. Technicians mostly need to see their assigned jobs and mark work done. The service advisor or owner handles estimates, prices and payments. Short training on the first few jobs is normally enough.
