When you open a second shop, you add it as a new business location in the same account. Customers, vehicles and the parts catalogue stay shared, so a customer who visits either shop has one history. Stock, cash registers, invoice numbering and sales are kept per location, so each shop’s numbers stand on their own and you can still see both together in reports.
Before you start
- Check your plan. Multi-location tools such as stock transfers and central reports are on the Fleet plan; see the pricing page and the multi-location page.
- Have the new shop’s address, phone number and any tax registration that differs from the first shop.
- Decide whether the new shop uses the same labour rates and part prices. If not, plan a selling price group for it.
- Know which staff will work at the new location.
Steps
- Add the location. Go to Settings → Business locations → Add. Enter the name customers will see (for example “Eastside Auto – Airport Road”), the address, phone and an optional location ID. The menu may be labelled slightly differently on your account.
- Choose invoice numbering. Pick an invoice scheme for this location. A separate prefix per shop (for example “AR-”) makes invoices easy to tell apart.
- Choose the invoice layout and printer. Select the layout and receipt printer for the new shop; see connect a printer and scanner.
- Set the price group. If the new shop charges different rates, create a selling price group under Products → Selling price groups, set the group prices on your labour services and parts, and choose that group as the location’s default.
- Set the payment methods. Check which payment methods are enabled for the new location, including any custom ones.
- Give staff access. In User management, edit the roles or users who should work at the new shop and add the location. Remove access to the first shop for staff who should only see the new one; see add staff and roles.
- Add opening stock or transfer parts. For parts bought for the new shop, enter opening stock at the new location. To move parts from the first shop, go to Stock transfers → Add, choose the from and to locations, add the parts and quantities, and save.
- Open a register at the new shop. On the sell/POS screen, choose the new location and open its register; see open and close the cash register.
- Run a test sale. Sell one item and check the invoice prints with the new address and numbering.
Check it worked
- The location filter on the stock report shows separate quantities for each shop.
- A stock transfer reduces stock at the sending shop and increases it at the receiving shop.
- Sales and register reports can be filtered to one location or shown for all.
- Staff limited to one location cannot see the other’s register or sales.
Common problems
- The new location is not in the POS location list. Your user does not have access to it. Add the location to your role or user.
- Prices at the new shop are the same as the old one. The location’s default price group is not set, or the group has no prices on those products.
- Stock transfer is missing from the menu. Your plan or role does not include it. Check your plan, then the role’s stock permissions.
- The new shop is in another country. Currency and time zone are set for the business as a whole, so ask support before adding a location in a different country.
