Business settings are the defaults every invoice, repair order and report inherits. Ten minutes here saves you from reprinting invoices or fixing reports later. You need the owner login or a user whose role allows editing settings.
Before you start
- Create your account and sign in as the owner.
- Know your financial year start month (ask your accountant if unsure).
- Decide how dates should print on invoices: US shops usually use month/day/year, UAE and Pakistan shops usually use day/month/year.
- Have your shop logo as a PNG or JPG if you want it on invoices.
- Have your tax registration number ready if you are VAT-registered in the UAE or sales-tax registered in Pakistan or a US state.
Steps
- Open Business settings. Go to Settings → Business settings. The menu may be labelled slightly differently on your account, but it sits under Settings.
- Check the business name and logo. Correct the name if needed and upload your logo. This is what customers see at the top of estimates and invoices.
- Set the currency. Pick USD, AED or PKR, and choose where the currency symbol sits (before or after the amount).
- Set the time zone. Choose your local zone, for example America/Chicago, Asia/Dubai or Asia/Karachi. Sale times, register reports and attendance use it.
- Set the financial year start. Choose the month your financial year begins. Reports that show “this financial year” follow this setting.
- Set date and time formats. Choose the date format and 12-hour or 24-hour time. These print on job sheets and invoices.
- Review the tax defaults. Look for the option that decides whether item prices are entered including or excluding tax. US shops usually enter prices excluding sales tax; UAE shops often quote VAT-inclusive prices. You will create the actual rates in set up tax rates and groups.
- Save. Click Save at the bottom of the page.
- Edit your first location. Go to Settings → Business locations. Your first location was created when you registered. Open it and add the full address, phone number and, if you have one, a location ID that should print on invoices. Choose the invoice layout and invoice scheme (numbering) for this location.
- Save the location. If you run more than one shop, see add a second location after you finish the getting-started guides.
Check it worked
- Open the sell/POS screen and confirm prices show your currency symbol in the right place.
- Create a test quotation (you can delete it afterwards) and preview it. The logo, address, date format and invoice number should look right.
- Open a report such as Profit / Loss and confirm the default date range matches your financial year.
Common problems
- The logo looks stretched or blurry. Upload a wider image with a transparent or white background; a landscape logo around 400 pixels wide usually prints cleanly on both A4 and receipt layouts.
- Invoice numbers start at 1 but you want to continue from your old system. Edit the invoice scheme for the location and set the starting number to one above your last paper or old-system invoice.
- Times on sales are a few hours out. The time zone is wrong. Fix it in Business settings; it affects new sales from that moment.
- You cannot see Business settings at all. Your user role does not include settings permissions. Sign in as the owner, or ask the owner to change your role in add staff and roles.
